When you buy Windows, Office or antivirus, you often receive a licence key (also called a product key). Here's what that actually is, in plain words.
A licence key is your proof of purchase
A licence key is a unique code, usually 25 characters in five groups like XXXXX-XXXXX-XXXXX-XXXXX-XXXXX. The software maker creates it. When you enter it, the software checks it with the maker's servers and unlocks the full version. This is called activation.
The key doesn't contain the software itself. You download the software from the official website, and the key proves you have the right to use it.
Three ways software is sold
- Licence key (one-time): you pay once and the key activates the software for life on one device. Examples: Windows 11 Pro, Office 2021 Pro Plus.
- Subscription on your own account: you pay monthly or yearly and the plan is added to your own email. Examples: Adobe Creative Cloud, Canva Pro, ChatGPT Plus. There's no key to type; you just sign in.
- Ready account: you receive a ready-made account and its login. Example: Tecvane's Microsoft 365 yearly account.

Why a genuine key matters
- Official updates and security fixes keep coming.
- All features work, including cloud and AI features.
- No risky tools: no need for activators or cracks, which often carry malware (see the risks of Windows activators).
- Support when something goes wrong.
How to keep your key safe
- Save the key somewhere safe, like your email or a notes app. You may need it to reinstall.
- Don't share it or post it online. A key used on another PC can stop working on yours.
- Buy only from sellers who give you an order number, written policies and after-sales support.
